AI for car garages: bookings and calls routed to the right department

In a car garage, the phone is one of the biggest sources of stress. One customer calls to book an oil change, another wants to know whether their part has arrived, a third asks how much a bodywork repair costs, and a fourth just wants to know whether the car is ready. They all reach the same person on reception, who is meanwhile handing back a car and explaining an invoice.

An AI system for car garages answers every call, understands what the customer wants and either handles the request itself or sends it to the right department. In this article I show you concretely how it works, how it is organised by department, what it costs and which mistakes to avoid.

Where communication gets stuck in a garage

  • One line for everything. Reception, parts, bodywork, paint shop, sometimes car sales too, all on the same number. The customer reaches whoever answers, not whoever they need.
  • Transfers that get lost. "I'll put you through to parts", followed by a call that rings out.
  • Mechanics interrupted. The phone ends up in the workshop, and someone with their hands in an engine stops work to say the car will be another hour.
  • Bookings taken down incompletely. The registration number, model or description of the problem is missing, and on the day you do not have the part.
  • Missed calls. Every call nobody answers could be a job that goes to the garage down the road.

How an AI agent with department routing works

Think of it as a receptionist who never gets tired, never puts the customer on hold and knows exactly who handles what. At Neurotech we build these agents on Claude, the AI model developed by Anthropic, with natural voice through ElevenLabs and telephony through Twilio. The customer speaks normally, with no "press 3".

Step 1: it understands the reason for the call

The customer says "my engine warning light is on" or "I want to know whether the brake pads I ordered have arrived". The agent identifies what it is about: a booking, parts, bodywork, the status of a job or something else.

Step 2: it handles directly whatever can be handled

Many requests do not need a person:

  • Bookings for services, oil changes, tyres, diagnostics.
  • Opening hours, address, which documents the customer should bring.
  • Job status, if the garage keeps that information in a system the agent can read.
  • Indicative prices for standard work, from your list.

Step 3: it routes the rest to the right department

For anything that needs a person, the agent transfers the call directly to the department or, if nobody answers, takes down the full request and sends it to the person responsible. An example setup:

DepartmentWhat the agent collects before transferring
Service receptionName, phone, registration number, model, the problem as described by the customer
PartsModel, year, engine, the part needed, possibly the VIN
Bodywork and paintType of damage, whether there is an insurance claim, photos sent on WhatsApp
TyresSizes, season, whether their tyres are in storage with you
AdminInvoices, fleet quotes, complaints

The person who takes the call already has all the information on their screen or phone. They no longer start the conversation from scratch.

Step 4: it confirms and keeps the customer updated

After booking, the customer receives a confirmation by text or WhatsApp. With simple automation, they can also get a reminder before the appointment, a message when the car is ready and an invitation for their next service.

An example call

Customer: Hello, I'd like to book in, my brakes are squeaking.

Agent: Hello! I can book you in for a brake check. What car do you have, and what's the registration number?

Customer: A 2016 diesel estate, CJ 12 ABC.

Agent: Thank you. We have space on Thursday at 9:00 am or Friday at 2:00 pm. Which suits you?

In under two minutes, the booking is in the system with all the details, and reception knows in advance what job is coming.

WhatsApp for photos, quotes and car status

For bodywork, a photo says more than a description over the phone. A WhatsApp chatbot can receive photos of the damage, ask whether there is an insurance claim and send everything, neatly organised, to the bodyshop. The same conversation can then be used to send the customer their quote, booking confirmation and the message that the car is ready for collection.

The advantage for you: the entire history of the conversation with the customer sits in one place, linked to their car, not scattered across employees' personal phones. If a colleague is on holiday, another can immediately see what was discussed and what was promised.

Customer and vehicle data is stored in a database on servers in the European Union, with access limited to those who need it.

What stays with people

  • Diagnosis. The agent does not say what is wrong with the car. It notes the symptoms and books a check.
  • Repair quotes. The final price for a complex repair is given by a person, after they have seen the car.
  • Complaints and dealings with insurers. The agent takes the details and passes them quickly to whoever is responsible.

Implementation, step by step

  1. The department map. Who handles what, which phone numbers they have, their hours, who covers for them.
  2. Call types. Together with you, we listen to or note down the most common reasons for calls and how you want each one handled.
  3. The booking calendar. Workshop capacity per day, the length of standard jobs, busy days.
  4. Integration. We connect the agent to your calendar and job management system, or build a custom app if you still work on paper.
  5. Transfer rules. When it transfers directly, when it takes a note and alerts someone, what happens out of hours.
  6. Testing and launch. We simulate real calls, with background noise, customers in a hurry and vague descriptions, then go live and fine-tune.

What it costs

ComponentStarting price (excl. VAT)
AI voice agent with department routingfrom €1,500
WhatsApp chatbot (bookings, damage photos)from €800
Automation (confirmations, car ready, service reminders)from €1,200
Custom garage management appfrom €2,500
Websitefrom €1,500

Implementation is paid in instalments tied to deliverables. Monthly costs depend on call volume and the number of departments, so we estimate them for your garage.

To see whether it is worth it, start from two questions: how many calls do you miss a day, and how much time does reception lose answering simple questions instead of looking after the customers in front of them? A single recovered bodywork job can cover a serious share of the investment.

Mistakes to avoid

  • Transferring to numbers nobody answers. Every department needs a plan B: take a note and call back.
  • Unrealistic durations in the calendar. If a service is booked in for half an hour and takes two, the whole day falls apart.
  • Fixed prices for variable jobs. The agent gives price ranges and explains that the final price is set after inspection.
  • Out-of-date job status information. If the agent reads the car's status, the team has to keep the system updated.
  • No out-of-hours message. The agent can take bookings in the evening too, but the customer must know when a person will get in touch.

Checklist: is it time for AI in your garage?

  • You have several departments and a single phone number.
  • Reception is overwhelmed by calls at peak times.
  • Mechanics get interrupted by the phone.
  • Bookings come in incomplete or get lost.
  • Customers often call just to ask whether the car is ready.

Let's see how it would work for you

Every garage has different departments and a different workflow. If you want to find out what an AI agent for your garage would look like, book a free 30-minute call. We will map out your calls together and tell you what is worth automating first.

Frequently asked questions

Can an AI agent take bookings for a car garage?

Yes. The voice agent asks for the car model, registration number and problem, checks free slots in the workshop calendar and confirms the booking. The customer then receives a confirmation by text or WhatsApp, and reception sees all the job details in the system before the car arrives.

How does AI route calls to different departments?

From the conversation, the agent works out the reason for the call, for example parts, bodywork or a booking, and transfers the customer to the responsible department. Before transferring, it collects the necessary details. If nobody answers, it takes down the full request and sends it to the right person for a call back.

Can the AI agent tell what is wrong with the car?

No, and it should not. The agent notes the symptoms the customer describes, such as noises, warning lights or vibrations, and books a check. The diagnosis and repair quote always come from a mechanic, once they have seen the car in the workshop.

How much does an AI voice agent for a garage cost?

An AI voice agent starts from €1,500 for implementation, excluding VAT. Payment is made in instalments tied to deliverables. Monthly costs depend on call volume and the number of departments calls are transferred between, so we estimate them for your garage after a short analysis.

What happens to calls received out of hours?

The agent can answer in the evenings and at weekends too: it takes bookings, answers questions about opening hours and logs requests for each department. The customer is told when someone will contact them, and in the morning the team finds a complete list of requests, with no voicemails to listen to.
